Top Producer alternatives in 2026: a fair checklist

Top Producer is a CRM many agents have used for years. If you are shopping around, here is a fair checklist for comparing it with the alternatives, and the questions to ask every vendor.

A CRM earns its keep when it does real work while you are out showing homes. Judge every option, ours included, by what happens without you touching it.

Top Producer is a long-standing real estate CRM. Its pricing page describes the Pro plan as "Industry-leading CRM with home & market reports" and lists automated text and email lead response, built-in transaction management and MLS integration with more than 320 boards, per its pricing page (checked 11/01/2026). Many agents know it well. Others start looking because they want an AI that holds the conversation, fewer add-ons, or contracts and splits on the same record as the lead. This guide gives you a fair way to compare.

RealtyMind is not affiliated with Top Producer. Details about it come from its own website and help center, checked 11/01/2026, and can change. Confirm anything important with the vendor.

Seven things to check

Automation or AI conversation

Automatic replies and AI conversations are not the same thing. Rules-based automation sends the same first message to every new lead. An AI conversation answers questions, asks a few of its own and books a next step. Top Producer's help center calls FiveStreet an "innovative lead aggregation and broadcast system" that sends prospects an automated reply by email, text or both, routes leads to your team and shows their details before you call, per its FiveStreet introduction (checked 11/01/2026). That is useful. The page does not describe AI, and the calls are made by your team. Decide whether that fits, and ask every vendor exactly what happens when a lead texts back a question at 10 PM.

What is in the plan and what is extra

Write down every line item before you compare. Top Producer's pricing page lists a website and FiveStreet as add-ons billed monthly, team plans sized by number of users, and separate plans for leads and farming. When we checked, the page showed more than one price table, so ask for a written quote for your exact setup. Do the same with every vendor: phone numbers, texting, AI, websites, extra users and onboarding.

Farming and past clients

Farming tools help you stay in front of a neighborhood or your past clients. Top Producer's pricing page lists Smart Targeting and farm-area marketing in its farming plan. Whatever tool you use, check how it picks who gets a message. Geography, years owned and what a client told you are fair signals. Protected traits never are, and neither are stand-ins for them. Our guide to which past clients are likely to sell explains the line.

A phone app for showing days

Top Producer's help center says its mobile app lets agents "manage your business wherever you are," with contacts, notes, tasks and prompts to log calls and set next steps, per its mobile app article (checked 11/01/2026). Test any app on a real showing day: can you see the lead, call, text, move a deal and send homes to a client without a laptop?

Transactions, forms and splits

The pricing page lists built-in transaction management. Ask what that covers: deadlines from the contract, document checklists, state forms, e-sign, broker review and commission statements. If any of those live elsewhere, count that tool in your total.

Compliance that runs on its own

Look for consent tracking before AI calls or texts, quiet hours, opt-outs that work right away, recording notices, a fair housing check on AI-written copy and the brokerage name on every message. Ask whether these are rules inside the product or habits each agent must remember. Our guide to AI calls, texts and the TCPA covers what to test.

The move-in and the move-out

Long-time CRM users often have years of notes and tags. Ask who moves them, whether opt-outs carry over, and how you export everything if you leave. Our help article on importing contacts lists Top Producer among the systems you can export from.

Where RealtyMind fits

RealtyMind is one option, built AI-first, with the lead inbox, phone, listings, transactions and splits in one system. It is in private pilot today. Here is what is in it, from our features page:

  • Sofia, the AI front desk, answers calls and texts 24/7 with real two-way voice conversations, qualifies buyers and sellers, books showings and warm-transfers hot leads. She calls back in minutes only if the person opted in.
  • One lead inbox. Zillow, Realtor.com, Homes.com, Facebook, your site and open houses land in one place and route by area, price, language and agent load. Follow-up stops the moment a lead replies.
  • Hugo, the AI assistant, answers "What's my day?" and "Who didn't I call back today?" from the car.
  • Ivy, the AI marketer, writes listings and posts in your voice, spots past clients worth a check-in and drafts each note. Drafts wait for your OK, and a fair housing check runs first.
  • Tess, the AI transaction coordinator, builds the timeline from the contract and chases every signature. Splits and statements live in the same system.
  • Home search for clients. Agents get a private client search link to share with buyers.

Questions to ask every vendor

  1. What happens when a new lead texts a question at 10 PM?
  2. Is your follow-up a fixed sequence, or does the AI answer what they asked?
  3. What is in the base plan, and what is an add-on?
  4. What is the total monthly cost for my setup, in writing?
  5. What is the minimum term, and how do I cancel?
  6. How do I export notes, tags and history?
  7. Do opt-outs carry over when I switch?

Common questions

Is Top Producer a bad choice?

No. It is a long-standing CRM with transaction tools and MLS-based market reports listed on its pricing page. Shopping around makes sense when you want the AI to hold conversations, or want fewer add-ons. Use the same checklist on every option.

Can I move my Top Producer contacts to RealtyMind?

If you can export it, we can move it. Free move-in of contacts, deals, listings, notes and documents is planned at launch, and people who opted out stay opted out. See how switching works.

Does RealtyMind text leads automatically?

Sofia follows up by text and calls back in minutes, but only with people who opted in. Follow-up stops the moment a lead replies or texts STOP.

How much does RealtyMind cost?

Pricing is announced at launch. Planned at launch: a free trial, no setup fee and month to month.
