Many CRMs have added AI features. Some draft texts. Some summarize calls. Some text new leads for you. A few answer the phone. Those are very different jobs, and a polished demo rarely makes the difference clear. Use the questions below on every vendor, including us. Write the answers down, then compare. Questions about the AI
What exactly does the AI do on its own?
Ask for a plain list: what it drafts for you, what it sends by itself and what it decides. Drafting tools are common and useful. Follow Up Boss Smart Messages and BoldTrail's Smart Assistant, for example, both draft messages for the agent to review and send, per their own pages (checked 11/01/2026). That is a fine feature. It is a different feature from an AI that works leads while you sleep, so know which one you are paying for.
Can it answer a call and hold a conversation?
Phone calls still matter in real estate. Ask the vendor to call their own AI on speaker during the demo. Does it understand a follow-up question? Can it book a showing on a real calendar? Does it hand a hot lead to a person live? Some AI is text-only by design: BoldTrail's help center says calls to the Concierge AI number forward to the agent's cell (checked 11/01/2026). Neither approach is wrong. Just know which kind you are buying.
Who does the AI contact, and when?
An AI that texts or calls needs rules: only people who opted in, only inside polite hours, a STOP that works right away and a recording notice on every call. What happens when it hits a limit?
Some AI features have caps on leads, minutes or messages. BoldTrail's help center, for example, says Concierge AI works each lead for 14 days and pauses for the rest of the month once the account's pooled capacity runs out. Ask every vendor what the limits are, who gets warned, and what happens to new leads when you reach them.

Does it check fair housing before anything posts?
AI writers produce copy fast, including risky phrases. Ask whether every AI-written listing, post and ad passes a fair housing check before it goes out, and whether the brokerage name is added to every ad. Does the phone app do everything the desktop does?
Agents work from the car and the showing, not the desk. Test the app on a real day: call, text, move a deal, approve a listing and send homes to a client, all without a laptop. Ask whether new AI features arrive on the app at the same time as the desktop.
Where do the deal, the paperwork and the split live?
Many teams run leads in one tool, contracts in another and commissions in a spreadsheet. Ask whether the lead, contract dates, documents, broker review and split statement sit on one record, or sync between products. If they sync, ask which way. What does one seat really cost?
Ask for the total monthly cost for your team in writing, with every seat, package, add-on, phone number and fee. If the price is not published, ask why. How do I get my data in, and out?
Ask who moves your contacts, deals, notes, tags and documents, whether opt-outs carry over and what it costs. Then ask how you export everything if you leave, and in what format. A clean exit is part of a good deal. Here is how cancel and export work at RealtyMind.
What are the contract terms?
Ask about the minimum term, auto-renewal, the cancellation notice period, price changes at renewal and any setup fee. Get each answer in writing before you sign anything.
How to run a fair test
Pick two or three finalists and give each one the same test week:
- Call the AI line at 9 PM as a buyer asking about a home, and listen for the recording notice.
- Send a test web lead and time the first reply. Then reply STOP and confirm it stops.
- Ask the AI writer for a listing that mentions "perfect for families" and see whether it gets flagged.
- Move a test deal to under contract and watch what happens to the dates and tasks.
- Export a contact list and open it in a spreadsheet.
